  1. Agree the Incoterm with the supplier. This decides who pays each leg and who clears customs (see the table below).
  2. Get at least two freight quotes. One from the factory, one from an independent forwarder — compare all-in numbers.
  3. Book and get tracking. Confirm the carrier, flight/vessel, and a tracking number you can share with your customers.
  4. Prepare customs documents. Commercial invoice, packing list, bill of lading (B/L), and a certificate of origin (C/O) if your market needs it.
  5. Receive and inspect. Check against the packing list; file any claim within the forwarder’s window.

  • Customs hold / exam. Random or flagged exams add days; build buffer time before any launch date.
  • Lost original B/L. Without it (and no telex release), release needs a bank guarantee or letter of indemnity — slow and costly. Prefer telex release.
  • Wrong HTS.
  • Re-classification can back-charge duty plus penalties — fix the code at quote time, not at the border.
  • Transit damage. File the claim inside the forwarder’s window (often 3–7 days post-delivery) with photos; miss it and you eat the loss.
